These Terms & Conditions (“Terms”) apply to all bookings and travel arrangements made through Supreme Travels (“we”, “us”, “our”, “the Company”).

By making a booking with us, the person making the booking (“the Lead Passenger” or “you”) agrees to these Terms on behalf of themselves and all passengers included in the booking.

Please read these Terms carefully before making a booking.

1. Making a Booking

A booking may be made through our website, by telephone, by email, or through another booking method offered by Supreme Travels.

The person making the booking is responsible for providing accurate information for all passengers included in the booking.

A booking will only be considered confirmed once we have received the required deposit or payment and issued a booking confirmation or other confirmation of the arrangements.

A booking made or confirmed by telephone is considered binding in the same way as a booking confirmed in writing.

Once a booking has been confirmed, the cancellation and amendment conditions applicable to that booking will apply.

2. Responsibility of the Lead Passenger

The person making the booking accepts responsibility for:

  • Providing accurate information for all passengers

  • Ensuring that all passengers understand these Terms & Conditions

  • Paying the total cost of the travel arrangements

  • Providing any information or documentation required for the booking

  • Informing us promptly of any changes to passenger details

Unless otherwise agreed in writing, the Lead Passenger is responsible for payment of the total price of the arrangements for all passengers included on the booking.

3. Deposits and Payment

Bookings may require an initial deposit of approximately £100 to £150 per person, depending on the travel arrangements.

The deposit may be paid by an accepted payment card or by bank transfer, subject to the payment methods available at the time of booking.

The balance of the booking must be paid by the due date stated on your booking confirmation or invoice.

For flight bookings, the remaining balance must be received into the Company’s nominated bank account before the applicable payment deadline.

Failure to make the required payment by the due date may result in the booking being cancelled and applicable cancellation charges being applied.

A booking is not considered fully paid until cleared funds have been received.

4. Price Guarantee

Charter Flight Arrangements

Where a charter flight arrangement is specifically confirmed as price guaranteed, the price shown on the confirmation invoice will not normally be subject to additional surcharges, except where an increase results directly from government action or other circumstances expressly permitted under applicable law.

Scheduled Flight Arrangements

Scheduled airlines may change their fares and charges before tickets are issued.

For scheduled flight arrangements, the price shown on the confirmation invoice is only guaranteed once the required full payment has been received and the applicable tickets have been issued, unless we have expressly confirmed otherwise in writing.

Payment of a deposit secures the booking or seat subject to the airline’s conditions, but does not necessarily guarantee the final price until full payment and ticket issuance.

Government Charges

Our price guarantee does not cover increases resulting directly from government action, including the introduction or increase of taxes, VAT, passenger levies, airport charges or other mandatory government charges.

Any applicable additional charges will be communicated to you before ticket issue or as soon as reasonably practicable after we become aware of them.

5. Flight Information

Details of airlines, flight numbers, schedules, departure airports and destination airports will normally be shown on your booking confirmation or invoice.

Flight schedules and other flight details are subject to change by airlines and other relevant suppliers.

Unless specifically guaranteed in writing, we cannot guarantee:

  • A particular aircraft type

  • A particular airline

  • A particular flight time

  • A particular seat

  • A particular aircraft configuration

Where an airline or supplier changes flight arrangements, we will communicate relevant changes to you as soon as reasonably practicable.

6. Minor Changes to Your Holiday

Occasionally, changes may need to be made to your travel arrangements.

If we are required to make a minor change to your arrangements, we will inform you as soon as reasonably practicable.

Minor changes may include changes that do not significantly affect the overall nature or value of your travel arrangements.

7. Major Changes to Your Holiday

In exceptional circumstances, we may be required to make a significant change to your travel arrangements before departure.

Examples may include:

  • A significant change to departure time

  • A change of departure or arrival airport

  • A significant change to the itinerary

  • A significant change to accommodation

  • A change to the airline or aircraft where this materially affects the arrangements

A change of more than 12 hours to a scheduled departure time may, depending on the circumstances and the applicable booking terms, be considered significant.

Major changes may arise because of circumstances outside our reasonable control, including airline decisions, operational requirements, weather conditions, government action, security concerns or other unforeseen events.

Where applicable, we will notify you as soon as reasonably practicable and will endeavour to minimise any inconvenience.

Where applicable under the terms of your booking and applicable law, you may be offered:

  • Acceptance of the changed arrangements

  • Alternative arrangements of comparable standard or value, where available

  • Cancellation with a refund of amounts paid to us for arrangements that are legally required to be refunded

The options available will depend on the type of booking and the applicable laws and supplier terms.

8. Group Holidays

Some holidays and tours may be subject to a minimum number of participants.

If the required minimum number is not reached, we may need to cancel the relevant tour or holiday, subject to applicable law and the specific terms provided at the time of booking.

Where we cancel a booking for this reason, we will inform affected customers and refund amounts that we are legally required to refund.

If the number of participants in a group is reduced and this results in increased costs, the price may change where this was stated or agreed as part of the booking conditions.

9. Changes to Your Booking

If you wish to change any part of your booking, you must contact us as soon as possible.

We will try to accommodate requested changes, but changes cannot always be guaranteed.

Where a change is possible, an amendment fee may apply. The amount of the amendment fee can vary depending on the airline, hotel, supplier, destination, type of booking and timing of the request.

You may also be responsible for any additional costs charged by airlines, hotels, tour operators or other suppliers.

Changes should be confirmed to us in writing where requested.

From time to time, additional taxes, airline charges, airport charges or other mandatory surcharges may become payable. Where applicable, we will advise you of such charges before ticket issue or as soon as reasonably practicable after becoming aware of them.

10. Passenger Name Changes and Corrections

You are responsible for ensuring that all passenger names and personal details supplied at the time of booking are correct.

Name corrections or changes may be subject to airline or supplier restrictions and additional fees.

Some tickets may not permit name changes after ticket issue.

Any applicable costs will be advised before a permitted change is processed.

11. Cancellation by You

If you or any member of your party needs to cancel a booking, the Lead Passenger must notify us as soon as possible.

Cancellation requests should be made in writing.

Cancellation charges will depend on the type of travel arrangement, the supplier’s terms, the date of cancellation and whether tickets or other travel documents have already been issued.

Cancellation Before Ticket Issue

For bookings cancelled before ticket issuance, a minimum cancellation charge of £75 per person, plus any applicable loss of deposit and supplier charges, may apply.

The exact cancellation charge will be confirmed at the time of cancellation.

Cancellation After Ticket Issue

Once a ticket has been issued, cancellation may result in the loss of up to 100% of the total cost of the relevant travel arrangements, depending on the airline’s fare conditions and supplier terms.

You should contact your reservation adviser before cancelling so that the applicable charges can be confirmed.

Charter Flights

Charter flight bookings may carry a 100% cancellation charge before or after ticket issue, where this is specified in the booking conditions provided to you.

The specific cancellation conditions applicable to your booking will be confirmed at the time of booking.

Travel Insurance

Travel insurance premiums are generally non-refundable once the policy has been issued, subject to the insurer’s own terms and applicable law.

12. Cancellation by Us

In exceptional circumstances, we may need to cancel a booking or travel arrangement.

Where we cancel, we will notify you as soon as reasonably practicable.

Your rights and any refund or alternative arrangements will depend on the type of booking, the reason for cancellation and applicable UK travel and consumer protection legislation.

Where another supplier, such as an airline or hotel, cancels part of your arrangements, the applicable supplier’s terms and your statutory rights will apply.

13. Travel Documents and Passenger Information

You are responsible for ensuring that all information provided to us is accurate.

You are also responsible for ensuring that you have the necessary travel documentation for your journey, including where applicable:

  • A valid passport

  • Appropriate visas

  • Entry permits

  • Transit visas

  • Health or vaccination documentation where legally required

  • Any other documents required by the destination country, airline or relevant authorities

Travel requirements can change, and you should check the latest requirements before travelling.

We may provide information about travel documentation as a service, but unless expressly agreed otherwise, you remain responsible for ensuring that you meet all applicable entry and travel requirements.

14. Travel Insurance

We strongly recommend that all customers obtain appropriate travel insurance before travelling.

Your insurance should provide suitable cover for your particular circumstances and travel arrangements, including cancellation, medical expenses, baggage and other relevant risks.

You should carefully read the terms, exclusions and conditions of your insurance policy to ensure that the cover meets your needs.

Supreme Travels is not responsible for losses that could reasonably have been covered by appropriate travel insurance, subject to applicable law.

15. Complaints

If you experience a problem during your holiday or while using a travel service, you should report it immediately to the relevant hotel, accommodation provider, airline, local representative, tour operator or other supplier so that they have a reasonable opportunity to resolve the issue.

Where we or our local representative are responsible for the relevant service, you should also contact us as soon as possible.

If the issue cannot be resolved while you are travelling, please obtain written confirmation of your complaint where reasonably possible.

Any complaint that remains unresolved after your return should be submitted to us in writing as soon as reasonably possible, preferably within 28 days of your return, together with all relevant details and supporting documentation.

Failure to report a problem promptly may make it more difficult for us or the relevant supplier to investigate and resolve your complaint.

Nothing in this section limits any statutory rights you may have.

16. Our Liability

We will provide the services for which we are responsible with reasonable care and skill and in accordance with applicable law.

Our liability will depend on the nature of the travel arrangement and whether we act as an organiser, agent or intermediary.

We are not responsible for circumstances outside our reasonable control, including but not limited to:

  • Severe weather

  • Natural disasters

  • War or civil unrest

  • Terrorism or security incidents

  • Government action

  • Strikes or industrial disputes

  • Airline operational issues

  • Airport closures

  • Traffic or transport disruption

  • Technical failures

  • Pandemics or other public-health events

  • Changes or cancellations made by third-party suppliers

Nothing in these Terms excludes or limits liability where doing so would be unlawful.

17. Special Requests

If you have a special request, such as dietary requirements, accessibility requirements, room preferences or other arrangements, please inform us at the time of booking.

We will pass requests to the relevant supplier where appropriate.

A special request is not guaranteed unless we have expressly confirmed it in writing.

18. Health, Accessibility and Medical Requirements

You should inform us before booking of any requirements that may affect your ability to travel or use the services booked.

Certain airlines, hotels, tour operators or destinations may have their own requirements or restrictions.

You should obtain appropriate professional advice where necessary and ensure that your travel insurance provides suitable cover.

19. Payment Security

We use reasonable measures to protect payment and personal information.

Payment transactions may be processed by third-party payment providers, banks or other financial institutions and may be subject to their own terms and privacy policies.

We do not control third-party payment systems and cannot accept responsibility for issues caused solely by those providers, subject to applicable law.

20. Website Information

We make reasonable efforts to ensure that information published on our website is accurate and up to date.

However, travel information, prices, availability, flight schedules, hotel facilities and other details may change.

Website information should not be treated as a guarantee unless expressly confirmed in writing as part of your booking.

Errors and omissions may occasionally occur, and we reserve the right to correct such errors where permitted by law.

21. Third-Party Suppliers

Many travel arrangements are provided by independent third-party suppliers, including airlines, hotels, tour operators, transport companies and other service providers.

Their services may be subject to their own terms and conditions.

Where applicable, those terms will form part of your booking arrangements.

We will provide relevant information about supplier terms where reasonably necessary.

22. Events Outside Our Control

We will not be responsible for failure or delay in performing our obligations where this is caused by circumstances that could not reasonably have been prevented or avoided.

Such circumstances may include natural disasters, extreme weather, war, terrorism, civil unrest, government restrictions, epidemics, pandemics, industrial disputes, transport disruption, airport closures and other events beyond our reasonable control.

Where such circumstances affect your booking, we will take reasonable steps to communicate with you and assist where possible.

23. Data Protection and Privacy

We process personal information in accordance with applicable data protection legislation and our Privacy Policy.

Our Privacy Policy explains how we collect, use, store and protect your personal information.

24. Applicable Law

These Terms & Conditions are governed by the laws applicable in the United Kingdom, subject to any mandatory consumer protection rights that apply to you.

We accept the jurisdiction of the courts of the part of the UK in which the customer is domiciled, where applicable.

For customers who are not domiciled in the UK, the courts of England and Wales shall have jurisdiction, subject to any mandatory rights or jurisdiction provided by applicable law.

25. Changes to These Terms

We may update these Terms & Conditions from time to time to reflect changes to our services, suppliers, legal requirements or business practices.

The version applicable to your booking will generally be the version provided or made available to you at the time your booking is made, unless a change is required by law or otherwise applies to your booking.
